What this policy covers

This policy explains how KeyLake handles personal information submitted through keylakeestates.org and its public forms. It also explains our general treatment of customer property information, service photos, and service records. A signed service agreement, invoice, or third-party payment provider may have additional terms that apply to a specific transaction.

Keep sensitive access and payment information out of public forms. Do not submit lockbox, alarm, gate, door, or smart-lock codes; passwords; key locations; full card or bank details; or exact absence schedules. If KeyLake needs sensitive access information, we will handle it through the separate customer-setup process used for that purpose.

Information you may give us

Depending on the page or form you use, we may receive your name, email address, phone number, property address or general location, your relationship to a property, requested service or visit preferences, referral or source information, invoice number, and the message or notes you choose to provide.

If you refer another person or property: please share only the information you are authorized to provide and keep it limited to what is reasonably needed to make the introduction.

Information processed when you use the site

The systems that deliver and protect KeyLake’s website may process basic technical information such as the date and time of a request, IP or network information, browser or device information, and security or abuse-prevention signals. We use this information to deliver the site, troubleshoot problems, and protect the website and its forms from misuse.

How KeyLake uses information

  • Respond to questions and process service requests, referrals, billing requests, and service-change requests.
  • Review whether a property fits a current route, service scope, and available capacity.
  • Communicate with you about the request or service you asked us to handle.
  • Maintain business, service, accounting, and customer-support records.
  • Protect KeyLake systems, investigate misuse or fraud, and resolve technical or service problems.
  • Meet legal obligations, enforce agreements, and address disputes when necessary.

Payments

KeyLake’s public website forms do not ask for or store full payment-card or bank-account credentials. A payment-link request may include contact information or an invoice number so we can identify the correct invoice. Online invoice payments are handled through the payment option provided with the KeyLake invoice, with QuickBooks/Intuit serving as the payment and accounting platform.

Property photos and service records

Customer property photos, visit photos, and customer-specific service records are private by default. KeyLake uses them for the customer relationship, reporting, recordkeeping, quality review, and authorized follow-up. We do not use customer-specific property photos or service imagery in advertising, social media, case studies, portfolios, or other public promotion without separate permission for that public use.

Who may receive information

Within KeyLake, customer and property information should be available only to people who need it for authorized work. We may also use service providers that support website hosting and security, email and communications, file storage, accounting and payments, and other business systems. Those providers may receive information only as needed for the services they perform.

We may disclose information when reasonably necessary to comply with law or legal process, protect safety or rights, investigate misuse or fraud, resolve a dispute, or carry out an action you authorized. Access to customer or property information is not permission to publish it.

Retention and security

KeyLake keeps information for as long as reasonably needed for the service or request involved and for legitimate business, accounting, legal, security, recordkeeping, or dispute purposes. We work to use reasonable administrative, technical, and physical safeguards appropriate to the information we maintain and to limit access to the people and systems that need it. No method of electronic storage or transmission can be guaranteed to be completely secure.

Your choices

You may contact KeyLake to ask about information you submitted through the website, request a correction to your contact information, or raise a privacy concern. We may need to retain certain records when they are reasonably necessary for service documentation, accounting, legal, security, or dispute purposes.

Policy updates

We may update this policy when the website, our service, or the way we handle customer information changes. If our practices change materially, we will update this page so the public description matches how the information is actually handled. The date shown on this page identifies the current version.
